Auto-registration solves one of the most time-consuming parts of running FlexTime: finding a spot for every student who hasn't registered before a period begins. Instead of placing students one by one, auto-registration scans available activities and seats, matches each unregistered student to the best available option, and handles the placement for you.

Enabling auto-registrations for Flextime automates matching open seats with unregistered students. The algorithm looks for the "best-fit" class combinations to resolve scheduling gaps instantly, saving staff from hundreds of hours of manual data entry.

Select FlexTime from the main menu.
Select the Settings tab.
Navigate to the FlexTime Settings Heading.
Toggle ON Scheduled auto registration.
In the Run time before period start field, enter the number of hours before the FlexPeriod you would like the auto registration process to start.
✅ Outcome: Automatic Registration now runs on its own before each flex period. Any student still unregistered at that point is placed automatically, and you do not need to check the Unregistered Report yourself.
Good to know: Auto-registering students functions within pre-configured restrictions and hard seat limits for activities.
Auto-register from the Unregistered Report
If your school prefers to trigger auto-registration manually, use the Unregistered report. This lets you review which students are unregistered for a specific period and run auto-registration on demand for all of them or a selected group.

Navigate to FlexTime from the main menu.
On the FlexTime Dashboard, select the date the FlexPeriod occurs on.
Click on the number next to Not Registered for the period.
Select the student(s) by clicking on the box next to their name. To select ALL students on the report, click on the box next to First Name.
Select Auto register.
A pop up will ask you to Confirm auto registration. To confirm, select Run now.
You will see a notification at the bottom of the screen: Auto registration is running. We'll notify you when it's complete.
Once complete, you will be alerted in the notifications area of Minga (the bell icon).
Click on the notification to see the total registered students and if any students remain unregistered.
✅ Outcome: The selected students are placed into activities immediately, following the same relationship-aware, restriction-compliant logic used by scheduled Automatic Registration. The Unregistered Report updates to remove the students who were just placed.
⚠️ Note: Auto-registration respects all activity restrictions and seat limits. Students who cannot be matched to an available activity will remain unregistered after the process completes
Auto-Registration vs Registering to a Homeroom
Deciding to auto-register or register a student to their homeroom teachers activity can be a challenge. Below we have a handy chart to explain the differences between the two methods so that you can chose the one that works best for you.

Auto-Registration: Best for scenarios where you want students to land in the "best-fit" activity and for when you want seat limits and activities to remain intact.
Register to Homeroom: Best for scenarios where the student should be in an activity with their direct teacher, or for when the student should have supervision.

Restriction compliance
Automatic Registration respects every restriction already configured on an activity, including grade-level restrictions and any other enrollment rules set by an Owner, Manager, or Activity Teacher. It never places a student into an activity that student is not eligible for, and it never exceeds an activity's Seats Available limit to make a placement fit.
⚠️ Note: If no eligible, open activity exists for a student, Automatic Registration cannot place that student. That student remains on the Unregistered Report until an activity becomes available or an Owner, Manager, or Flex Time Manager places them manually.

Auto-registration ran but some students are still showing as unregistered
If students remain unregistered after auto-registration completes, the algorithm was unable to find a valid activity placement for those students. Auto-registration only places students into activities where open seats are available and all activity restrictions are met. If every activity that a student qualifies for is full, or if no available activity matches the student's restrictions, the student will remain unregistered. To resolve this, navigate to FlexTime > Reports > Unregistered, identify the affected students, and either register them manually or use Register to homeroom to place them in their homeroom teacher's activity.
The Auto register button is not visible in the Unregistered report
If you do not see the Auto register button in the Unregistered report, confirm that your account role is Owner. Auto-registration controls are only available to Owners. Also confirm that your school is on a Plus or Premium subscription. Auto-registration is not available on Base subscriptions. If both conditions are met and the button is still not visible, contact Minga support.

Does auto-registration override activity restrictions or seat limits?
Auto-registration does not override activity restrictions or seat limits. The algorithm only places students into activities where a seat is available and all configured restrictions are met. If an activity is full or a student does not qualify based on its restrictions, auto-registration will not place that student there. Students who cannot be matched to any available activity will remain unregistered after the process completes.
Can auto-registration run more than once for the same FlexTime period?
You can run auto-registration more than once for the same FlexTime period by returning to the Unregistered report and selecting Auto register again for any students still showing as unregistered. Scheduled auto-registration runs once at the configured time before the period starts. If students remain unregistered after the scheduled run, use the manual trigger from the Unregistered report to run it again.
Who receives the notification when auto-registration is complete?
The Owner who triggered the auto-registration — either by scheduling it or by selecting Run now from the Unregistered report — receives a notification in the Notifications area of Minga when the process is complete. The notification shows the total number of students registered and flags any students who could not be placed.
Can I see which activity each student was placed into after auto-registration runs?
After auto-registration completes, click the notification in the Notifications area to view a summary of the run. For a detailed view of individual student placements, navigate to the FlexTime dashboard and select the relevant date and period. The registration list for each activity will reflect all placements made during the run.
