Managing hall passes can get a bit tricky, especially when there are restrictions like blackout periods or no-party groups in place. This article is here to help you easily handle situations where a hall pass gets denied, how to see the reasons behind it, and what to do if you need to override a restriction.
What Happens When a Hall Pass Is Denied?
Sometimes, a student might try to create a hall pass when they’re not supposed to—like during a blackout period or if they’re in a no-party group. When this happens, the system will log the denied request so you can keep track of it.
Here’s how it works:

Student Requests a Pass: The request will show up on your dashboard as "Pending."

Denying the Request: If the request is against the rules, you can deny it right from your dashboard. The student will see the denial in real-time.

Viewing Denied Requests Reports History
The denied request is recorded in the Hall Pass Reports tab under the Hall Pass History Report.
The report includes details such as:

- The reason for the denial (e.g., blackout period, no-party group)
- The date and time of the denial

and in the Staff Report.
Managing Restricted Pass Requests
When a student belongs to a no-party group or is trying to create a pass during a blackout period, the system recognizes and logs it as a restricted pass.
Steps:
- Restricted Pass Creation:
- The system identifies the restriction (e.g., no-party group) and generates a code indicating the type of restriction.
- This restricted pass is then logged in the History Report with the reason for the restriction.
To make it easier to manage these situations, we’ve added a few helpful filters:
- Status:
- Approved
- Denied
- Expired
- Overridden
- Restricted (will appear when the pass is blocked by a rule)
- Note: the Pass status will appear on the reports tab
- Denied by:
- User
- Blackout window
- No party group
- No pass party
- Exceeded max active passes
- Exceeded max hall pass type passes
- Not in hall pass list
- Not past min wait period
- Hall pass is already active
- Exceeded max passes

Overriding Restrictions
Teachers have the ability to override restrictions if necessary. For example, if a pass should be issued despite a restriction, the teacher can override it.
Steps to override a pass:

- The teacher can simply choose to approve the pass, even if it meets a restriction.
- Click > Assisgn Pass
- The overridden pass is recorded as approved, with the original reason for denial still noted.
