Students' Guide to Hall Passes

Everything you need to know about getting a hall pass, whether you start the request or a staff member creates one for you.

Hall passes are how you leave class and get where you're going without a teacher walking you there. Minga gives you two ways to end up with one: you can request a pass yourself from your device, or a teacher can issue one to you directly. Both show up the same way once they're active. By the end of this article, you'll know how to do both and what to do if a request gets denied or a pass expires while you're still out.

What a hall pass is

A hall pass is permission to be outside your assigned classroom for a specific reason and a limited time. Once a pass is active, it appears on your Digital ID and in a banner at the top of your page.


Creating a hall pass yourself

When you have been given verbal permission to use a Hall Pass to leave the classroom, you can create a hall pass by following these steps:


Step-by-step guide to creating a hall pass

  1. Open the Minga app on your device or visit app.minga.io in your browser.

  2. Click on the My Tools tab located in the main menu OR click on Create Hall Pass directly from the menu.

  3. Choose the Create a Hall Pass option from the list.

  4. Select the specific Hall Pass category you need (e.g., Restroom, Library).

  5. Click the Create Hall Pass button to finalize.

  6. If your school is using the hall pass queue and your class is at its active hall pass limit, you will be added to the queue.

  7. Once you are at the top of the queue, you will be prompted to start your pass.

  8. The hall pass is then visible on your Digital ID and across the top of Minga in a banner, with a live countdown timer.

Outcome: Teachers do not have to create a pass for you! Once created, your hall pass becomes active and appears on your Home screen and Digital ID with your pass type and remaining time.


Receiving a hall pass from a teacher

Use this section to understand what happens when a teacher issues you a pass without you requesting one.

What happens:

  1. A Teacher, Manager, or Admin assigns you a hall pass.

  2. The pass appears on your Home screen automatically. You do not need to request or accept it. You can also view the pass on your Digital ID or by clicking on the Notification Bell in the top right corner.

Outcome: Your hall pass is active immediately. You'll see the same pass type and time information as a self-requested pass.

Teacher approved passes

Some hall pass types require you to have a teacher approve the pass. The teacher will then either approve or deny the pass. If the pass is denied, it will not be created and will not count towards your total amount of allowed passes for the day.

Step-by-step guide to Teacher Approved Passes

  1. Open the Minga app on your device or visit app.minga.io in your browser.

  2. Click on Create Hall Pass directly from the main menu.

  3. Choose the Create a Hall Pass option from the list.

  4. Type in the name of the approving teacher in the Approved by field.

  5. Select the specific Hall Pass category you need (e.g., Restroom, Library).

  6. Click the Create Hall Pass button to finalize.

The approving teacher will get a notification that there is a pass pending their approval. They can chose either Approve or Deny within the time limit.

If approved, you will see a Hall pass approved and active message, and your pass will be live.

If denied, you will see Hall Pass request denied, and your pass will not be assigned.


Hall Pass Queue

If set up at your school, your hall pass request may be placed in the Hall Pass Queue if there are the maximum number of students out on passes during your class.

When the hall pass is ready to be assigned, you will receive a pop-up notification in Minga prompting you to start your pass. If the pass is not started within 60 seconds, your hall pass request goes to the bottom of the queue.

Step-by-step guide to the student hall pass queue flow

  1. Begin by selecting Create Hall Pass from the main menu.

  2. Select the desired hall pass type.

  3. If your school has the setting Must assign a teacher to hall passes or Teacher must approve pass enabled, select or type the name of the appropriate teacher in the Approved by list.

  4. Click Create.

  5. You have now been entered into the Hall Pass queue and will see a notification reading You're in line. You'll be notified when it's your turn.

  6. You can see your position in the hall pass queue in a banner at the top of your screen. You also have an option to cancel your request by clicking the Leave button.

  7. When your pass is ready to be assigned, you will receive a pop up notification to start your pass.

  8. You have 60 seconds to start the pass. If it is not started before the time elapses, you will move to the bottom of the queue.


Hall Passes through Kiosk

Many schools will be using Kiosk devices, like an iPad or Chromebook, to assign hall passes. For this method, you just need to enter your student ID on the screen, select the hall pass, and you are all set!

Step-by-step guide to using Kiosk for Hall Passes

  1. Start by entering your ID number and press Enter.

  2. Pick the hall pass type.

  3. Click Create hall pass.

Your pass has been assigned! you will see on the kiosk how much time your pass is for.

  1. To end your hall pass, type your ID number into the kiosk once again.

  2. Click End hall pass.

  3. Tap Done to return to the main kiosk screen.


If your request is denied or your pass expires

There may be times when your hall pass cannot be created or it expires before you are back to class! Here are a few tips and tricks to keep in mind:

My Pass was denied:

If your pass was denied by a teacher through the teacher approval process, it will not count towards your total allowed hall passes for the day.

Double check with your teacher if it is a good time to create a pass.

I get an error code when I try to create a pass:

Depending on the error code you are seeing, you cannot create a hall pass because you have run into a daily limit for the pass type, or you have used the total amount of allowed hall passes for the day.

If you need a pass, reach out to your teacher to see if they can create one for you.

I don't have a Create hall pass option:

Some schools only have teacher assigned hall passes, so students will not see the Create hall pass option in their main menu or in My Tools.


Troubleshooting

A student cannot find the Hall Pass option on their device.
If you don't see Hall Pass on your Home screen, your school may not have self-request passes enabled for students. Check with your teacher or school Admin to confirm.


FAQ

Can I request a hall pass for any reason?

You can request a hall pass for any hall pass type your school has set up in Minga that has the setting Student can create a pass enabled. Commonly used hall pass types are Restroom, Fountain, or Office.

Do I need a teacher to approve my hall pass before I leave?

You will need your teacher to verbally approve your hall pass before you create it, but it depends on the settings your school has set up if a teacher needs to also approve the pass in Minga. Ask your teacher or admin what the expectations in your school are.

What happens if I get a hall pass from a teacher while I already have one active?

A student can only have 1 active hall pass at a time. The only time you may see 2 active hall passes is if one was scheduled for you by a teacher ahead of time and it is assigned when you have an active hall pass. In this case, ask your teacher or school admin what to do.
